Booker's manager Functionality

The PCIBooking, Booker manager, enables Bookers to create a private portal for their hotels and other properties using online PCI-compliant messages.

Features of the Booker’s portal include:

  • Customized branding - Website look and feel

  • Emails, including

    • Notification for messages

    • Activation

    • Forgotten password operation

  • Bulk upload of properties

  • Manual addition of properties

  • Activation of properties

  • Self-management of property accounts, including:

    • Property activation - sending and re-sending of activation requests.

    • Editing of settings and removal of properties

    • Creation of a single user for property account

How to Edit Bookers’ Settings

Navigate to the Booker Settings page with the following menu options:

 

Adding a Booker and editing Booker settings is done by the PCI customer service.

A Booker can edit existing details for themselves on the Booker Settings page except for the BookerID.

Click on the Update button to update Booker settings.

How to Generate API Keys

In the Booker Setting page, you can generate up to 5 API keys. (Click here for more information on APIs) API keys can also be removed from this page.

An API key is used for authentication within the API service. Without a key a booker cannot use the service.

  1. Click on the Generate API Key option under the API Access section of the page.

  1. Enter a user friendly API key name to make it easier to track later on.

  2. Click Yes to generate the API key.

  3. Note:    Keep a copy of the generated API key as it will not be displayed on screen later.

How to View a List of Properties

Login to the PCIBooking, Booker manager. Navigate to the View your Properties page with the following menu options:

The View Properties page contains list of all properties associated with a Booker. The properties can be assigned the following status:

  • Active
    Activated properties
     

  • Pending user activation
    A registration email was sent, but the property is not yet activated by the property.
     

  • Pending
    Properties that were added to the Booker’s list, but the activation email was not yet sent.

The following details are displayed in the property list:

A filter function is available to the bottom of the page. You can filter the list using the data in any of the columns, and use the filters to locate specific properties.

For example, if you enter a ‘B’ in the Name field, all properties beginning with the letter B are displayed.

In the View Properties page, you can select to view either of the following options for each property:

  • Settings

  • Inbound Queue - for active properties

If the Settings option is selected, the Property Information page is displayed for the property.

How to View a Property’s Queue

Select Inbound Queue option from the View Properties page and the Incoming Messages page is displayed for the property.

A reservation may have a list of related message types, for example, Modification, eFolio, Cancellation and Feedback from the hotel as shown in Figure 5.

If there are related messages within the same reservation, the number of messages in the thread is indicted in the message Type column.  For example, the message type, Reservation Cancellation (9) indicates that there are nine messages for the same reservation.

To view a message click on any of the messages to display the message details.

Note:  Within the message, the Booker CANNOT:

  • Confirm or decline a message - just view the latest status
  • View the end user payment details

How to Edit Property Settings

Select the Settings option for a property from the View your Properties page.

As properties can be activated or pending, the settings will be different for each status.

Pending Property Settings

When a property is pending, the Booker can:

  1. Make any changes to the contact details.

  2. Make changes to the property information.

  3. Re-send an activation email.

 

Active Property Settings

When a property is active, the Booker can:

  1. Make any changes to the property contact details.

  2. Reset property’s password.

  3. Close a property - in this case, the messages will not be sent to the property’s control panel.

  4. Note: By closing an account, the property will be closed, and not receive any messages. The property will remain in the Booker’s database as closed.

The Booker cannot change a Username.

How to Add Properties Manually

Navigate to the Add a Property page with the following menu options:

 

The Create New Account for Property Page is displayed.

A property is added manually by setting up an account for the property and adding all the properties details.

  • Note: The Username will be used by the property to log in to the property’s card display only iFrame. The Username cannot be changed after the property is activated for the account.

Click on the Add Property button to create an account for the property.

When a property is added, it will automatically receive an activation email from the Booker.

How to Add Properties in Bulk

Multiple properties can be added to the portal in bulk, each with their own accounts. You can create an Excel file containing details of all the properties which can then be uploaded to the portal.

  • Note:    The file format required for uploading is an Excel file (*.xlsx). The property details must be formatted as per the file fields in the Excel template i.e. in exactly the same order and with the mandatory fields in their correct place.

  1. Download an Excel template for uploading properties.

  2. Upload the Excel file from this page.

Check that all the property information in the file is correct before you upload the file.

  • Note: it there is a missing mandatory field, or any other problem with one of the file records, the complete Excel file will not be uploaded.

If the file uploads successfully, the following message is displayed.

The properties will not be added if there is a problem with the one of the properties details in the file and an error is displayed.

This can occur when:

  1. A username is duplicated - Username already exists for the Booker.

  2. Username is not validated (see validation within table in Figure 10 )

  3. Phone number is not a valid phone number.

  4. Email address is not in a valid email address format.

When the properties are added, they will automatically receive an activation email from the Booker.

How to Activate Pending Properties

You can re-send activation emails to properties from the View your Properties page.

Select a pending property by ticking the checkbox beside the property.

  • Note:    Only ‘pending’ and ‘pending user activation’ properties can be selected by checkbox.

Click on the Send Activation Email button to re-send the email.
